What is a document management system, and how do you choose one?
A document management system (DMS) is software that keeps an organisation’s documents in one place and manages their versions, approvals, access rights and lifecycle. This guide explains what a DMS solves, which capabilities it needs and the questions to ask when choosing one.
What does a document management system do?
In most organisations, information is scattered across network folders, mailboxes, cloud storage and different applications. The same document exists in several copies, nobody is sure which one is current, approvals get lost in email, and finding the right information takes minutes or even hours.
A document management system brings this into one structure. Each document is kept as a single true version, with a record of who changed it and when, who approved it and who can access it. Information stops depending on individuals, and audits become a matter of showing records rather than gathering evidence.
Document management, records management, EDRMS and ECM
These terms are often used interchangeably, but their emphasis differs:
- Document management system (DMS): manages how documents are created, versioned, approved, shared and found. The focus is on live, working documents.
- Records management: deals with storing and archiving completed documents, tracking retention periods and disposal.
- Electronic document and records management system (EDRMS, “EBYS” in Türkiye): in Türkiye the term is mostly used for official correspondence, incoming and outgoing documents and archiving in line with public-sector standards.
- Enterprise content management (ECM): the broader frame that brings document management, records management, workflow and archiving together across the organisation.
A modern document management system covers most of these needs on one platform: it runs the workflow of live documents and archives completed ones according to retention rules.
Eight capabilities a good document management system needs.
Compare these capabilities with your own processes when choosing: each one solves a different everyday problem.
One true version, with full history
Each document is kept in one place, and every revision, author and date is recorded automatically.
What you gain: No more working on old versions or juggling copies.
Classification with metadata
Documents are described by properties such as customer, project, document type or date, so you no longer depend on folder structures.
What you gain: The same document appears in different teams’ views without being copied.
Fast, intelligent search
Full-text and metadata search, including the content of scanned documents through OCR.
What you gain: The right information is found in seconds.
Workflow and approval
Approval, review and publication steps that start automatically by document type, with task assignment and reminders.
What you gain: Approvals no longer get lost in email, and the pending step is visible.
Permissions and audit trail
Who can see and change each document is set by role and document properties, and every action is logged.
What you gain: Evidence is ready for KVKK and ISO audits.
Retention, archiving and disposal
Retention periods are set by document type, and expired documents are archived or disposed of by rule.
What you gain: The archive stays orderly and unnecessary data does not pile up.
Integration
Connections to Microsoft Office, Outlook, ERP and CRM, and access to existing repositories.
What you gain: People keep working in the tools they already use.
Artificial intelligence
Automatic classification, summarising and answering natural-language questions with sources.
What you gain: Less manual metadata entry, and information is put to use faster.
Questions to ask when choosing a document management system.
Judge a system by how your organisation works with information, not by its feature list.
- Context: can it organise documents by context such as customer, project and process, not only by folder?
- Existing data: how does it handle documents in network folders and other systems, and can it manage them without moving them?
- Process: can approvals and workflows be configured to your rules without coding?
- Compliance: does it support permissions, audit trails, retention and disposal rules for KVKK, ISO and industry audits?
- User experience: can teams work from the tools they already use, such as Office and Outlook?
- AI: do the AI features respect permissions and show the sources behind their answers?
- Deployment: are cloud, on-premises and hybrid options available?
- Partner: is there an experienced local team to run setup, migration and life after go-live?

Document management systems: common questions.
What is a document management system (DMS)?
A document management system is software that keeps an organisation’s documents in one place and manages their versions, approval flows, access rights, searchability and retention. Its purpose is to get the right document to the right person at the right time, securely.
How does a DMS differ from an EDRMS (EBYS)?
A DMS focuses on creating, versioning and approving live documents. In Türkiye, the term EBYS is mostly used for official correspondence, incoming and outgoing documents and archiving to public-sector standards. Many organisations cover both needs on the same platform.
Do we have to move documents out of our existing folders?
Not always. M-Files can connect to existing repositories such as network folders and SharePoint and manage documents in context without moving them. Documents that should move for good are classified and migrated.
Cloud or on-premises?
M-Files runs in the cloud, on-premises or in a hybrid setup. The choice is made together, based on data residency, regulation, integrations and your IT strategy.
How does a DMS help with KVKK compliance?
It shows where documents with personal data live, limits access by permission, logs every action and disposes of documents by rule when their retention period ends.
What does AI add to document management?
AI classifies documents automatically, summarises long documents and answers natural-language questions from your own documents. Accurate and safe results depend on documents being organised, permissioned and managed in context.
