What is M-Files and how does it work?
M-Files is an AI-powered document management platform that organises documents by content and metadata rather than folder structure. Smart search finds documents quickly, and automated workflows keep processes secure and under control.
Where is M-Files from?
M-Files is a document management platform developed by M-Files, a company headquartered in Finland. In Türkiye, MechSoft provides consulting, implementation, integration and support as an M-Files Premier Elite Partner.
How does it differ from traditional file management?
With content-based classification, AI-driven automation, version control and audit trails, M-Files is much faster and more reliable than traditional file management. Windows File Explorer integration and full Microsoft Office compatibility also set it apart.
Does it run in the cloud or on-premises?
Both. M-Files offers cloud, on-premises and hybrid deployment, configured to suit your security and operational needs. In MechSoft’s M-Files projects the system is installed on-premises: data stays on your own servers, so personal data is not transferred abroad under KVKK, Turkey’s data protection law.
Are my documents secure?
Yes. Role-based access control, encryption and audit trails mean only authorised users can open documents, and every change is recorded. M-Files supports KVKK (Türkiye’s data protection law) and GDPR compliance.
Does it integrate with other applications?
Yes. It works both ways with ERP systems such as SAP and Logo: master data (customers, suppliers, materials, projects) stays in the ERP and is synced to M-Files; documents added in the ERP appear in M-Files and documents added in M-Files appear in the ERP. M-Files is also used as the approval and workflow platform ERP processes need. It integrates natively with the Microsoft ecosystem, so documents are managed directly from Teams, Outlook and SharePoint. Salesforce, Google Workspace, DocuSign and Adobe Sign integrations are available too, and Hubshare adds secure external sharing.
